OUR PRIVACY POLICY UNDER GDPR

In order to comply with the requirements of the General Data Protection Regulations emanating from EU 2016/679 and which came into force in May 2018, Clan MacGillivray confirms that it is committed to collecting, using and retaining only such data as it requires to obtain and hold in order to run the Association and which is in compliance with these Regulations

It is not anticipated that the Clan MacGillivray International Association which is based in Scotland will hold more than names, addresses and email addresses for living members or participants as referred to below.   The Committee of the Association is the Data Controller in terms of the Regulations.   Most, if not all, of the information which will be held will be supplied by the member or participant either in hard copy or by such other relevant on-line system including email.

When an individual becomes a member of the Association or participates in a Gathering or other function run or managed by the Association that individual will be responsible for ensuring that the information provided is accurate.

The Association undertakes that it will collect, store and use the personal information provided and that it shall be collected, stored and used in accordance with this Privacy Notice. 

WHY WE NEED YOUR PERSONAL INFORMATION – in order to communicate with you by email or post with information regarding information and updates for Gatherings and any other function run or managed by the Association and as required for general membership communication purposes such as advising of meetings;

If we comply with your objection, this may affect your participation as a member of the Association and your ability to be advised of or participate in Gatherings and the like

WHO WE SHARE YOUR PERSONAL INFORMATION WITH

Whilst we do not foresee having to share your personal information with anyone, we may be required to share it with statutory authorities to comply with statutory obligations.   

HOW WE PROTECT YOUR PERSONAL INFORMATION

Your personal information is stored on our electronic and paper systems. This data is accessed by our data processors who are the Committee of the Association at any given time for the purposes set out above.  There are appropriate safeguards in place to protect your data.  

HOW LONG WE KEEP YOUR PERSONAL INFORMATION

We will retain your personal data for as long as you are a member of the Association or for as long as the Association continues to be involved in the organisation of Gatherings of the Clan in Scotland or other functions pertaining to the Clan irrespective of where they may occur.

The GDPR provides the following rights for individuals:

4. The right to erasure
5. The right to restrict processing
6. The right to data portability
7. The right to object
8. Rights in relation to automated decision making and profiling.

If you wish us to remove the data we hold please advise us using any of the contact details mentioned above.   In the event that you feel that any of these rights have been breached and you remain dissatisfied about the way in which we have handled the matter you have a right to raise a complaint with the Information Commissioner's Office at www.ico.org.uk
